We have an opportunity for a highly organised and motivated individual to join the College as HR Assistant. As HR Assistant you will provide an effective and efficient HR administrative support to the HR Manager and the Senior Management Team.

The Royal College of Physicians of Edinburgh (RCPE) is an independent professional membership organisation and registered charity, which exists to support the profession to deliver the gold standard in healthcare provision.

We also ensure that the views and practical clinical experiences of our membership are taken into account by health policymakers throughout the UK.

The Role

  • To maintain effective filing systems and undertake general administrative duties including preparing  letters, memos, minutes of meetings, photocopying, scanning and archiving documents.
  • To be responsible for creating and accurately maintaining personnel files ensuring filing is undertaken on a regular basis including scanning and archiving of documents.
  • To provide administrative support in relation to training activity both in-College and external (room bookings, joining instructions, evaluation forms, etc.) as required.
  • Administration of the recruitment process, including the placement of job adverts, processing job applications, preparation of shortlist and interview packs, organising interviews, and preparation of all associated communications with applicants.
  • To support the HR Manager with the timely preparation of offer letters, contracts of employment for new joiners and other changes to contracts (e.g. fixed term contract extensions).
  • Develop a database to monitor equality and diversity information, input and maintain accurate data and produce a statistics report when required.
  • Collate sickness absence data and prepare statistical reports.

The Person

  • Experience of supporting the delivery of a range of HR services previously in at least one of the following areas: recruitment, contracts of employment, employee life cycle transactions and general HR administrative functions.
  • Awareness of HR policies and procedures and ability to provide guidance.
  • Possess basic knowledge and understanding of employment law.
  • Experience of handling confidential information and knowledge of data protection legislation.
  • Excellent interpersonal and communication skills with a professional, helpful and approachable manner.
  • Competent written communication skills with a focus on attention to detail (to produce correspondence, agendas, statistics, reports).
  • Experience of accurately inputting to databases, maintaining manual/electronic records and the analysis and manipulation of this data to produce reports.
  • Competent computer skills in Microsoft Office.

The Remuneration Package

The salary for this role is £25,092 per annum pro rata. Additional benefits include:
